 This privacy notice explains who we are, the personal data we collect, how we use it, and what your legal rights are.

ABC relationship to H&B & your data

Applied Behaviour Change Ltd has been commissioned by Holland & Barrett’s H&B&Me to evaluate their app.

What personal information we collect

For this project we collect and process the following information:

Category of Data: Name, Email address, Employee ID
Purpose: Matching your data across surveys and for study related communications
Lawful basis: Explicit Consent

Category of Data: Demographic data (e.g. age, gender, ethnicity) and Employee working profiles (e.g. remote/office based)
Purpose: To understand participant characteristics
Lawful basis: Explicit Consent

Category of Data: Health information
Purpose: Evaluating the impact of the H&B&Me app on employee health behaviours and health outcomes
Lawful basis: Explicit Consent

Category of Data: Employee wellbeing and professional outcomes
Purpose: Evaluating the impact of the H&B&Me app on employee well-being and professional outcomes
Lawful basis: Explicit Consent

Category of Data: App Usage Data
Purpose: Monitoring and analysing user behaviour within the app
Lawful basis: Legitimate Interest. Consent: Where required for certain types of tracking (e.g. for analytic cookies).

How we collect and use your personal information

We obtain your personal information when you express interest in participating in the study or complete study-related surveys. Additionally, app usage data is collected by Holland & Barrett and shared with us via Qualtrics for evaluation purposes. This data helps us assess engagement levels with the app and its impact on health and well-being outcomes. It will not be used to track or monitor individuals outside of this research study.

We use this information solely for:

·      Monitoring, evaluation, and learning

·      Matching your survey responses for analysis

Your personal information and survey responses will be kept strictly confidential in accordance with this privacy notice. We will not share any responses you give when completing the surveys with Holland & Barrett or the H&B&Me team. Only the research team at Applied Behaviour Change Ltd will have access to your full data.

What data we share

For this research study, we are using the survey platform Qualtrics to process your data. As a result, we need to share your data with them for the purpose detailed below:

  • Purpose and Scope:
    The sharing of data with Qualtrics is a one-off arrangement specifically for this research study. Qualtrics is used solely to store and analyse the data for the study's purposes.

  • Role of Qualtrics:
    Qualtrics acts solely as a data processor on our behalf. They process the data only in accordance with our instructions and under strict contractual controls, and solely for the purposes outlined in this research study.

  • Access to Data:
    Only authorised personnel at ABC have access to the data. We maintain strict access controls and security measures to ensure that your data is protected throughout the research process.

  • No Ongoing or Third-Party Sales:
    This data sharing is limited to the scope of the current research study. We will not share or sell your data to any other third parties beyond this arrangement.

  • Data Sharing with Holland & Barrett (H&B) for App Usage Data:

    For the purpose of evaluating the H&B&Me app, and to receive and process app usage data, we will only share your email address with H&B so that they can match the app usage data. This data is collected by Holland & Barrett (H&B) and shared with us via Qualtrics. The data will be used strictly for research purposes to understand how individuals engage with the app and assess its impact.

  • Data Sharing for Incentive Management:

    To facilitate the distribution of incentives at the end of the study, we will share your name and email address with Ayda's platform. This will allow you to set up and activate your account, where you can select and access your shopping voucher (if you are eligible upon completing the full study).

 How we store and protect your personal information

We implement appropriate safeguards to protect your information from loss, theft, or misuse. Access to our computer systems is restricted to the research team working on this evaluation. Your personal information will be stored securely and retained only for the duration necessary to complete the evaluation. Once we have reported anonymised findings, your personal information will be securely deleted from our systems. The time period for keeping your personal information for this evaluation is January 2025 to July 2025.

Your rights

Under data protection laws, you have the following rights:

  • Right to Access – You can request a copy of your personal information while we hold it.

  • Right to Rectification – You can ask us to correct inaccurate or incomplete information.

  • Right to Erasure – You can withdraw from the study at any time, and we will delete your personal data.

  • Right to Restriction of Processing – You can request that we limit how we use your data, for example, if you contest its accuracy or object to its processing.

  • Right to Data Portability – You can ask us to provide your personal data in a structured, commonly used, and machine-readable format so you can reuse it for your own purposes.

  • Right to Object – You can object to the processing of your personal data in certain circumstances, such as for direct marketing or research purposes.

  • Right to Withdraw Consent – If we process your data based on your consent, you can withdraw it at any time without affecting the lawfulness of processing before withdrawal.

  • Right to Complain – If you are concerned about how your data is handled, you have the right to lodge a complaint with the relevant data protection authority, such as the UK Information Commissioner's Office (ICO).

Providing responses to this study is entirely voluntary and is done with your explicit consent. You have the right to withdraw consent at any time.
